IGNITE FITNESS PERSONAL TRAINING
Client – Trainer Agreement
1)My Commitment to you
Confidentiality
All personal information shared with me will remain strictly confidential. Your personal details,
medical information, and consultation records will not be disclosed to any third party without your
written consent, unless required by law.
b) Professional Recommendations
Using my professional judgement and experience, I will design structured training programmes and
provide lifestyle guidance tailored to your goals. If you have specific preferences or requests, these
can be discussed and incorporated where appropriate.
c) Referral
I operate within the scope of my qualifications and competencies as a REPs Registered Exercise
Professional. Where necessary and in your best interests, I will refer you to an appropriate
healthcare professional.
If I Cancel or Run Late
Unforeseen circumstances may require a session to be rescheduled. In such cases:
• If I cancel within 24 hours of your session, I will make up the session at no charge.
• If I cancel giving more than 24 hours’ notice, I will reschedule at the earliest mutually
convenient time.
• If I run late, I will extend the session or arrange to make up the lost time where possible.
2) Your Responsibilities
a) Disclosure of Information
You agree to disclose all relevant medical history, injuries (physical or mental), allergies, and
medications during consultation and to inform me of any changes. Medical clearance from your GP
may be required before participation.
b) Acceptance of Risk
Whilst exercise has substantial health benefits, it carries inherent risks. You will be required to sign
an informed consent and disclaimer prior to commencing training.
c) Cancellation, Rescheduling & Attendance Policy
• A minimum of 24 hours’ notice is required to cancel or reschedule a session.
• Less than 24 hours’ notice will result in the session being charged in full.
• Failure to attend a scheduled session will be treated as a no-show and charged in full.
• Genuine emergencies or illness will not be considered a late cancellation, provided the
session is rescheduled promptly.
• If you arrive late, the session will finish at the scheduled time due to other client
commitments.
d) Session Validity
All paid sessions must be used within 2 months (8 weeks) from the date of purchase.
Unused sessions beyond this period will expire unless exceptional circumstances apply (such as
medical or prolonged unavoidable situations). Extensions may be granted at the trainer’s discretion
for up to 12 months.)
Changes to Plan
• Changes to weekly session frequency require 2 weeks’ written notice, allowing payment
adjustments.
• After the initial term, cancellation requires 1 month’s paid notice.
• Failure to provide notice will result in the next billing period being charged.
3) Session Options & Term
Session Length: 1 hour
Frequency: As agreed (minimum 1 session per week)
Initial Term: 12 weeks
Following completion of the initial 12-week term, this agreement will continue on a rolling monthly
basis until cancelled with one month’s paid notice.
4) Payment Options
Payment may be made via:
• Direct Debit
• Bank Transfer
• Cash
All payments must be made by the agreed due date.
Failure to attend or use booked sessions does not remove the responsibility to make payment for the agreed term.
5) Preparation for Sessions
To maximise your results:
• Eat a light meal 2–3 hours prior to training
• Remain well hydrated
• Avoid alcohol before sessions
• Inform me if you feel unwell
• Wear suitable training clothing and footwear6) Communication & Commitment
While I will provide structure, guidance, and accountability, meaningful results require your
commitment. Open communication is essential. If challenges arise, they should be discussed
promptly so adjustments can be made where necessary.
7) Terms of Agreement
The client acknowledges that they are paying for professional services as outlined in this agreement.
Payment remains due for the agreed term regardless of session attendance.
The trainer agrees to deliver services to the highest professional standard, maintain REPs
registration, and comply with all applicable UK laws and professional codes of conduct.
